Minutes from PFA AGM held 27 October 2025

Discussion points

1. Welcome

The Chair, JS, welcomed everyone to the meeting and thanked them for attending.

2. Apologies

Apologies were received from: Andrea Thacker, Pauline Lannagan, and Rachel Davidson.

3. Approval of Previous Minutes

Minutes of the previous meeting were approved. Approved by: TF, Seconded JS

4. Chair’s Report - JS

It has been a busy fundraising year.

  • Trim Trail successfully installed – a great asset to both the school and the wider community - available after school hours.
  • Fundraising activities included: Sponsored walk, Bake sale, and stall at Ayton Flower Show.
  • Fraser McGregor will provide a quote for improving the wood chip area (woodchip removed and fencing and composite non slip decking installed).
  • JS noted that weekly check-ins with the school at Breakfast Club have been useful.
  • JS is happy to continue as Chair but open to swapping with a Vice Chair since her child is in P7.

5. Treasurer’s Report - TF

  • Account balance currently £8,093.84 with £5,987.23 allocated for playground funds.
  • Less money now than at start of year – this is in line with plans.
  • The Bank of Scotland account is due to be closed imminently.

6. Election of Council Members

The following were elected/re-elected to the PFA Council: RvK, LC, TF, Andrea Thacker, KA, JS, LB.

7. Election of Office Bearers

  • Secretary: Katie Aitchison
  • Chair: Joanna Stewart
  • Vice-Chair: Laura Cooksey
  • Treasurer: Toby Foster

It was agreed to edit a line to the constitution allowing the Chair to remain in post if their child is in P7, provided a Vice Chair is in place. (TF, JS, LB, KA, LC, RvK)

Current wording “The Chair should not be a parent that has only a P7 pupil in school. This is to ensure effective handover and AGM attendance, for the following academic year.”

Proposed change “At least one of the Chair or Vice Chair should expect to still be a parent of a child at the school in the following academic year. This is to ensure effective handover and AGM attendance.”

9. AOB (Any Other Business)

  • Letter from JH confirming she will continue as Head Teacher at Eyemouth Primary School until the end 2025/26 academic year. (JH)
  • Village Christmas Lights to take place on 30th November. (TF)

Fundraising & Raffle Updates

  • Prizes include: Sparta gym membership, vouchers from Leanne Gillie, family swim pass, Voucher from Giacopazzi’s, Sea the Change voucher, and KULT Fitness sauna session. (DM)
  • Raffle tickets: Books to be sold; P6 pupils will help design posters for local businesses and sell tickets at the school gates. (DM)
  • Draw to take place at Breakfast Club on the last Monday of term. (LC, JS)

Upcoming Events

  • Christmas Performance: One performance over 2–3 sittings during week commencing 8th December. (JH)
  • Christmas Party Week to follow, along with the church service in the last week of term. (JH)
  • Halloween Party: Organised to be free of charge; discussed volume and song choices for the DJ. (DM, JS, LC)
